Now, papers presented at APAC98 are available on WWW     Updated (3rd March, 1999)


PROCEEDINGS

The Conference Proceedings will be published in both book and CD-ROM form. Contributed papers are allocated up to 3 pages in double-column format and invited papers up to 5 pages.

Preparation of Manuscripts

The Proceedings will be prepared electronically - the paper version will be prepared from the electronic files. Only in exceptional cases where the preparation of electronic files is not possible or the processing of electronic files fails on any account, the hard copy will be scanned to create the electronic version. Instructions for the preparation of APAC'98 manuscripts are included as the text of the template files listed below. The instructions may also be viewed or downloaded for printing using the PostScript file 'apac98a4.ps' prepared for A4 size paper (click here for apac98a4.pdf (44kB) in PDF format. Acrobat Reader 3.0 or later required). A hard copy of the instruction is included in the third circular (titled "Guidelines for Authors Submitting Manuscripts for the First Asian Particle Accelerator Conference").

Templates are available for LaTeX2e and example files for WORD (Mac and PC), with version for A4 paper size only. Please download the appropriate version for your installation.

Files Available for Downloading

The following files are available via anonymous FTP from:
host:     ftp.kek.jp 
user ID:  anonymous
password: your e-mail address

They are stored in various formats in different folders. For Mac users, there are three folders:
macbin            Stored in MacBinary II format. For the application Fetch
                  or Anarchie users. Choose Automatic button for getting files.
macstf            Stored as StuffIt archives. Needs the application 
                  StuffIt Expander for decompression, which comes with 
                  Netscape 3.0 or later.
macraw            Stored in raw data (should be used only if the files
                  in the above two folders are unreadable in your Mac. Choose
                  Binary button of Fetch for getting files. The files can be 
                  read using MS WORD.
For PC users, there are two folders:
pcraw             Stored in binary format.
pczip             Stored as Zip compressed files. Needs the applications
                  WinZip or UnZip for decompression.
Please choose the appropriate folder for downloading. The templates can also retrieved by clicking the file names below (StuffIt Expander required to decompress files for Mac users).

The apac98.cls file must be resided in the same folder as the LaTeX2e file for typesetting.

If it fails to download templates on any account, please e-mail to the Editorial Board at : yongho@kekvax.kek.jp and tell us your mailing address and platform (Mac or PC). We will mail you appropriate templates on diskette.

  • Important Tips in Preparing a Manuscript

  • Never modify the page layout.
  • Use only Times, Symbol and Zapf Dingbats fonts in the document, including equations, tables and figures.
  • Save or insert figures in EPS format within the document.
  • Check if the PostScript file is made correctly out of the document by printing or viewing it using a PostScript viewer program.

  • Submission of Papers

    The deadline for submission of papers is at the conference, and the preferred method is on diskette.

    The following should be included on diskette:

  • The PostScript file of the complete document, including graphics (do not send PDF)
  • The text source file
  • Any special files/macros used to make the document
  • Graphics files in EPS format
  • An additional information (edit subform.txt) which comprises:
  •       Programme code 
          Submitting Authors name and affiliation 
          Title of the paper 
          Author name(s) 
          Keywords (maximum 5) 
          File names and description 
          Types of software and versions used for preparation of the paper 
          and the figures
          The platform on which it was prepared 
          The platform used to generate the diskette
    The files should be named according to the paper's conference program code. For example, for paper 4A006, they should be named as
  • 4A006.ps -- the PostScript file
  • 4A006.tex -- the LaTeX source file
  • 4A006.doc -- the WORD source file
  • 4A006f1.eps -- EPS file for figure 1
  • 4A006.txt -- text file with hard/soft-ware details

    In addition, single-sided printed versions of the paper and all figures in original sizes should be provided in separate sheets so that the electronic version can be verified and it can also serve as a master for scanning, if there are problems and all other attempts at recovery fail.

    If it is not possible to deliver papers on diskette, the anonymous ftp 'drop-box' may be used:

    The same drop-box can be used for re-submitting a revised version of paper after the Conference.

    The electronic files of contributions to the Proceedings will be processed during the conference. To help the editorial team and maintain a uniform throughput, authors are asked to submit their papers within the 24 hours between 1:00 p.m. on the day before and 1:00 p.m. on the day of their presentation. Papers should be delivered to Proceedings Office located on the first floor of the Main Building.

    Rapid publication of the Proceedings depends on rapid identification and solution of any problems with the electronic files. A chart will be displayed indicating the status of the papers submitted; please check the chart from time to time to follow the progress of your paper.

    Important Note

    We acknowledge from the beginning that there will be contributors who do not have enough resources for electronic submission of papers and expect little improvement before the APAC98. If you believe that the preparation of electronic manuscript according to the above method is impossible in your environment, please contact with us as soon as possible for appropriate prescription.
